DESIGNATION : Executive (Assessment Office)
RESPONSIBILITIES
THE ROLE: Executive, Assessment Office
The Assessments Office is responsible to manage the pre and post assessments preparations. This includes monitoring the submission and approval of tests, examination & assessment papers and results; management of exams and academic records. This position must work with faculty members and internal/external stakeholders to ensure compliance to the approval process are adhered to, in accordance with internal SOP and SSG requirements; as well as involved and support in exam invigilation related matters.
The staff in the Examinations Office must conduct themselves in an ethical manner, demonstrate honesty and integrity. Meticulous and possessing good organizational skills are essential.
Key Roles & Responsibilities:
Assessments Management
- Monitoring and liaising with the teaching faculty on the submission and approval of internal/external tests, examination, and assessments question papers where applicable and ensuring strict compliance to the approval process as stated in the assessments processes and procedures.
- Logistic preparation for examinations, including exam paper formatting, printing, packing/unpacking of tests/exam materials, test/exam seat & room planning and invigilator assignment.
- Updating test/examination schedule timely and accurately.
- Provide support to chief invigilators on day of test/examination to ensure smooth running of tests/examination.
Results Management
- Ensuring that the markers adhere closely to the marking of scripts timelines.
- Preparing and liaising with academic faculty member for post moderation.
- Coordinate internal and external moderation processes to ensure fairness and consistency in grading.
- Ensure adherence to deadlines for assessment results to be approved by authorised personnel and release to students accurately through result release portals.
Data Management and Reporting
- Maintain accurate and secure records of assessment results.
- Archive historical data for institutional reporting, accreditation and alumni verification.
- Generate reports for internal reviews, accreditation bodies, and external stakeholders.
- Ensuring timely following up and reporting of examination related issues such as appeal cases, academic misconducts, modules performance etc. to monthly Examination Board Meetings.
Quality Assurance and Continuous Improvement
- Maintain good relationships with faculty, inter-department colleagues and university partners.
- Ensure the delivery of assessments/examinations as per Kaplan/Partner Universities' Academic Policy and EduTrust regulations.
- Ensure fair and transparent resolution of disputes in accordance with institutional policies.
- Work with managers and relevant academic team to evaluate existing processes and recommend improvements to enhance efficiency and accuracy.
- Stay updated on best practices and emerging trends in assessment management and integrate them into office operations.
Communication and Support
- Initiate discussion to gather information and resolve issues encountered by the team assigned.
- Work closely with team manager and other relevant parties to resolve issues and improvement in examinations and administrative related processes.
- Participate in new initiatives proposed by the team or team manager for performance efficiency and new learning opportunities.
- Provide training and guidance to new/junior staff. Monitor the progress of new staff and provide feedback and update to direct supervisor.
QUALIFICATIONS
- Degree or Diploma holder with at least 2 years of relevant working experience.
- Able to work independently and under pressure to meet timeline.
- IT-savvy and resourceful.
- Capable of multi-tasking effectively.
- Meticulous and good attention to detail.
- Team player with strong communication and interpersonal skills with various stakeholders.
- May require extended hours during examination period and result processing periods.
